Application, payment, amendment & cancellation
Applying for Resort accommodation The manual procedure to be followed by anyone wanting to take advantage of the accommodation provided by the Fund is described in the following table:
Application forms will be processed and a booking confirmation letter sent via fax or email to the main applicant within 5 to 10 working days. Applications received for the following year after 1st May, will be processed to obtain a reservation number and secure your space, however confirmations/payment letters will be held back until new rates for the New Year have been released. Should a booking confirmation letter not be received one week prior to Occupancy date, please contact a Holsboer Vacations Administrator on the following: Central Booking office tel. no 011 295 5404 or Central email address Holsboervacations@nedbank.co.za to provide a copy. Please Note: The Booking confirmation letter, together with positive identification, is to be presented to Resort Manager upon arrival Payment terms Nedbank Staff/ Pensioners/ Nedbank Staff Family members: Full amount due will be debited during the month prior to the month of occupation. This will fall on the 20th of the month. For example: Should you go on holiday in July, your account will be debited in June. Should the 20th fall over a weekend or public holiday, the debit date will carry over to the next working day. Private Pensioners only qualify for 50% discount from 1 May to 30 November at Eastern and Western Cape resorts. Nedbank Pensioners qualify for 50% discount during our Out Of Season dates at all resorts. 50% discount is not permitted when booking weekends and long weekends. Full amount due will be debited on the 20th of each month prior to occupation. Nedbank Pensioners qualify for 50% discount during our Out of Season dates at all KZN resorts. 50% discount is not permitted when booking weekends and long weekends. Pensioners who would normally get discount in winter months, will not be eligible this June/ July 2010, as this period is deemed peak. Period is from 9 June 2010 to 14 July 2010
All clients that do not have a Nedbank Current or Savings account will have the following added to their booking. There is R 45.00 admin fee charge for Private client/ Pensioners bookings which is non refundable. There is a R350.00 breakage deposit for Private client/ Pensioners bookings The breakage deposit is refundable within 7 days of departure provided that there are no breakages. Guests to please provide the resort manager with their account details in order to be credited. As of 1 March 2009, all clients without a Nedbank account are required to pay a 50% deposit when forwarding their application forms. It is the client’s responsibility to phone and check that the funds/deposit slip has been received to avoid possible cancellation of the booking. Important Please ensure availability is ascertained and that a reservation number is obtained PRIOR to making a payment into our account. Non Nedbank account holders - Please note that the 50% deposit secures your booking and is non refundable. We cannot accept responsibility for incorrect payments /and or payments that do not reflect a reservation number as a reference into our account! For clients that hold a Nedbank account, we offer two debit dates from which to choose from. You may have your account debited for the full amount on either the 20th or the last working day of the month prior to the month and date of occupation. Please note that we do not permit split payments/debits. Last minute bookings Private clients that book accommodation at the last minute must either:
Procedure Phone/email request through to the booking office. Once availability has been ascertained, a provisional booking will be made. This will only be held for a period of 24 hours. During this time, the application form and proof of 50% payment is to be forwarded by you to the booking office. A payment letter will be sent to you reflecting the 50% payment and balance required. Upon final payment, a confirmation letter will be sent to you. Note

Verbal requests will not be actioned. School holidays
In season period (includes all school holidays) Nedbank Group Pensioner do not qualify for 50% discount during In Season period, however Nedbank Pensioners qualify for 50% discount during Out of season and ALL Pensioners qualify for a 50% DISCOUNT DURING WINTER MONTHS at the following resorts only: (FAIRWAY - excluding Peak dates: 23 September to 4th October) PLETTENBERG BAY, SOMERSET WEST AND PORT ALFRED Pensioners who would normally get discount in winter months, will not be eligible this June/ July 2010, as this period is deemed peak. Period is from 9 June 2010 to 14 July 2010. With effect January 2010 Holsboer Vacations will no longer accept groups of Matriculants at our Resorts. This ruling is endorsed by the Board of Trustees. December Booking Policy : All Non - Nedbank Account Holders A 50% non refundable deposit is payable on booking of accommodation for all non Nedbank account holders. The remaining 50% of the accommodation payment must be made 30 days prior to arrival date for all non Nedbank account holders. All Nedbank Account Holders Nedbank account holders will be debited the 50% non refundable deposit on the 20th of the month the application form is processed. The remaining 50% of the accommodation will be debited from Nedbank account holders the month prior to date of accommodation .
General rules
Number of occupants The number of persons occupying a particular unit may not exceed the number of beds with which the unit has been provided.
Resort Managers are authorised to request visitors of occupants to leave premises if the following visiting hours are not adhered to 10.00am until 8.00pm *Special permission needs to be obtained for the Resort Management for extended visiting Top ^ Arrival and Departure Times Booking in at a resort on a Sunday or Religious Public holiday is not permitted, however departure time on a public holiday is strictly 10:00 Resort Managers are authorised to refuse entry to any person who does not adhere to the below: Weekday: Monday to Friday Arrival and key collection: 14h00 to 18h00 Departure and return of keys: 09h00 Saturday: Arrival and key collection: 12h00 to 13h00 Departure and return of keys: 08h00 Sunday and Religious Public Holidays: No booking in allowed Departure time: 10h00
