Application, payment, amendment & cancellation

Applying for Resort accommodation

The manual procedure to be followed by anyone wanting to take advantage of the accommodation provided by the Fund is described in the following table:

Application forms will be processed and a booking confirmation letter sent via fax or email to the main applicant within 5 to 10 working days. Applications received for the following year after 1st May, will be processed to obtain a reservation number and secure your space, however confirmations/payment letters will be held back until new rates for the New Year have been released.

Should a booking confirmation letter not be received one week prior to Occupancy date, please contact a Holsboer Vacations Administrator on the following: Central Booking office tel. no 011 295 5404 or Central email address Holsboervacations@nedbank.co.za to provide a copy.

Please Note: The Booking confirmation letter, together with positive identification, is to be presented to Resort Manager upon arrival




Payment terms

• Nedbank Staff/ Pensioners/ Nedbank Staff Family members:

Full amount due will be debited during the month prior to the month of occupation. This will fall on the 20th of the month. For example: Should you go on holiday in July, your account will be debited in June.

Should the 20th fall over a weekend or public holiday, the debit date will carry over to the next working day.

Private Pensioners only qualify for 50% discount from 1 May to 30 November at Eastern and Western Cape resorts. Nedbank Pensioners qualify for 50% discount during our Out Of Season dates at all resorts. 50% discount is not permitted when booking weekends and long weekends. Full amount due will be debited on the 20th of each month prior to occupation.


Nedbank Pensioners qualify for 50% discount during our Out of Season dates at all KZN resorts. 50% discount is not permitted when booking weekends and long weekends.

Pensioners who would normally get discount in winter months, will not be eligible this June/ July 2010, as this period is deemed peak.

Period is from 9 June 2010 to 14 July 2010

  • Private client / Pensioners


All clients that do not have a Nedbank Current or Savings account will have the following added to their booking.

There is R 45.00 admin fee charge for Private client/ Pensioners bookings which is non refundable.

There is a R350.00 breakage deposit for Private client/ Pensioners bookings The breakage deposit is refundable within 7 days of departure provided that there are no breakages. Guests to please provide the resort manager with their account details in order to be credited. As of 1 March 2009, all clients without a Nedbank account are required to pay a 50% deposit when forwarding their application forms. It is the client’s responsibility to phone and check that the funds/deposit slip has been received to avoid possible cancellation of the booking.

Important
Please ensure availability is ascertained and that a reservation number is obtained PRIOR to making a payment into our account. Non Nedbank account holders - Please note that the 50% deposit secures your booking and is non refundable. We cannot accept responsibility for incorrect payments /and or payments that do not reflect a reservation number as a reference into our account!

For clients that hold a Nedbank account, we offer two debit dates from which to choose from. You may have your account debited for the full amount on either the 20th or the last working day of the month prior to the month and date of occupation. Please note that we do not permit split payments/debits.

Last minute bookings

Private clients that book accommodation at the last minute must either:

  • Pay immediately and provide proof thereof. Only then will a confirmation letter be issued.
  • Have their Nedbank account debited prior to arriving at the resort. Only then will a confirmation letter be issued.

Procedure
Phone/email request through to the booking office. Once availability has been ascertained, a provisional booking will be made. This will only be held for a period of 24 hours. During this time, the application form and proof of 50% payment is to be forwarded by you to the booking office. A payment letter will be sent to you reflecting the 50% payment and balance required. Upon final payment, a confirmation letter will be sent to you.

  • A Full Service facility is available at all Resorts at R100.00 per day, this only includes making of beds and washing of dishes every morning (excl Sundays and Public Holidays) This excludes day of check in but does include day of departure.
  • Resort Tariffs are subject to change without advance notice
  • Nedbank Group Pensioner do not qualify for 50% discount during the In Season dates, however Nedbank Pensioners qualify for 50% discount during the Out of season dates and all Pensioners qualify for a 50% DISCOUNT DURING WINTER MONTHS at the following resorts only: (FAIRWAY - excluding Peak dates: 23 September to 4th October) PLETTENBERG BAY, SOMERSET WEST AND PORT ALFRED

    Pensioners who would normally get discount in winter months, will not be eligible this June/ July 2010, as this period is deemed peak.
  • Period is from 9 June 2010 to 14 July 2010
Pensioner discount will not be applicable to Fairway Hermanus resort during the Peak Season dates: 23 September to 4th October.

Amending of Resort booking

Should you wish to cancel your Resort booking, please fax or email written request with Occupant, Resort, Reservation number and Occupancy dates to a Holsboer Vacations Administrator. Verbal requests will not be actioned.

If a booking is cancelled, Special Funds Department reserves the right to impose a penalty as follows:

Normal Resort accommodation

Out of Season Bookings / Cancellations / Amendments

If a booking is cancelled... Then...
Cancellations will only be actioned during office hours Monday to Friday
If a booking is cancelled more than 30 days before occupation.... Then no cancellation penalty will be charged.
If a booking is cancelled within 30 days of occupation... A cancellation penalty fee of 50% of the cost of the accommodation will be charged.
If a booking is cancelled within 15 working days of occupation... A 75% cancellation fee of the occupation cost will be charged.
If a booking is cancelled within 5 working days of occupation... No refund will be effected and a 100% cancellation fee will stand. This is the full cost of the accommodation.
If dates to the existing booking are changed within 15 days prior to check in An amendment fee of R100.00 will apply
If dates to the existing booking are changed dates within 10 days prior to check in, An amendment fee of R200.00 will apply


Peak Season Bookings/Cancellations/Amendmentss

If a booking is cancelled... Then...
Cancellations will only be actioned during office hours Monday to Friday
More than 90 days before occupation.... No penalty will be charged.
Within 90 days of occupation... A penalty fee of 50% of the cost of the accommodation will be charged.
Within 60 working days of occupation... A 75% cancellation fee will be charged.
Within 30 working days of occupation... No refund will be effected and a 100% cancellation fee will stand.
* As at 1 January 2012, all Peak Season bookings are subject to a 50% Deposit for all Nedbank Staff and Private Clients. Terms and conditions apply.

QVC Timeshare accommodation

If a booking is cancelled... Then...
More than 6 weeks before occupation... R400.00 penalty will be charged which must be paid directly to QVC and proof thereof furnished to both QVC and to Holsboer.
Within 6 weeks of occupation... No refund will be given and full payment will be required. It is advisable that you find an alternative person to "take over" the holiday from you in order for you not to pay the full accommodation fee. A name change can be done on the Guest Certificate should this be the case.


Should you be able to find an alternative person to take over your booking, no amendment or cancellation penalty will be incurred.

School holidays

In season period (includes all school holidays)

With effect January 2010 Holsboer Vacations will no longer accept groups of Matriculants at our Resorts. This ruling is endorsed by the Board of Trustees.

December Booking Policy :

All Non - Nedbank Account Holders

A 50% non refundable deposit is payable on booking of accommodation for all non Nedbank account holders.
The remaining 50% of the accommodation payment must be made 30 days prior to arrival date for all non Nedbank account holders.

All Nedbank Account Holders

Nedbank account holders will be debited the 50% non refundable deposit on the 20th of the month the application form is processed.
The remaining 50% of the accommodation will be debited from Nedbank account holders the month prior to date of accommodation .

General rules

Number of occupants

The number of persons occupying a particular unit may not exceed the number of beds with which the unit has been provided.

  • The ID No of the main occupant to be supplied with the booking request.
  • Booking confirmation document together with positive identification be presented to Resort Manager upon arrival
  • Resort Managers are authorised to refuse entry to any persons in excess of the maximum number allowed for a specific unit. (See the Holsboer Vacations Intranet site for details about specific units)
  • Children over 24 months are deemed as an occupant. Therefore, a cot upon request will be provided.
  • Should the applicant decide to leave as a consequence of this ruling, he/she will remain liable for full payment of the tariff.


Resort Managers are authorised to request visitors of occupants to leave premises if the following visiting hours are not adhered to

10.00am until 8.00pm

*Special permission needs to be obtained for the Resort Management for extended visiting

Arrival and Departure Times

Booking in at a resort on a Sunday or Religious Public holiday is not permitted, however departure time on a public holiday is strictly 10:00

Resort Managers are authorised to refuse entry to any person who does not adhere to the below:

Weekday: Monday to Friday

Arrival and key collection: 14h00 to 18h00
Departure and return of keys: 09h00

Saturday:

Arrival and key collection: 12h00 to 13h00
Departure and return of keys: 08h00

Sunday and Religious Public Holidays:

No booking in allowed
Departure time: 10h00

  • Special arrangement for late arrivals must be arranged through the Resort Manager only

Please note

  • A R200.00 penalty will be imposed on any late arrivals where no special arrangements have been made.
  • A R100.00 per hour penalty will also be imposed for any late departures where no special arrangements have been made.

Towels

An applicant is responsible for providing beach towels for own use.

However, bathroom towels are provided at all complexes. Towels and bed linen will be changed every 3 days.

DSTV

Guests no longer need to take their DSTV smartcard with them to the resort. The Bouquet includes the following channels:

  • M-Net
  • Movie Magic 1, 2, & 3
  • All Sports Channels
  • TV1
  • TV2
  • TV3
  • ETV
  • Kyk-net
  • Sky News
  • Disney Channel

General

The following rules also apply:

  • Clients may now book up to 2 years in advance for all Holsboer resorts. . Applications received for the following year after 1st May, will be processed to obtain a reservation number and secure your space, however confirmations/payment letters will be held back until new rates for the New Year have been released.
  • In order to maintain uniformity in respect of crockery, glassware, etc., provided in the units, any breakage, loss or damage to a utensil etc. should not be replaced by the occupant personally. A replacement will be arranged by the Resort Manager and the occupant debited with the cost thereof or have the breakage depoisit deducted for the rand value of the item that was broken or damaged.
  • Cleaning staff must be allowed access at all reasonable times. Under no circumstances may cleaners be requested not to carry out their duties.
  • Resort Tariffs are subject to change without advance notice

Misdemeanours

A monetary fine or other penalty may be imposed on an occupant who commits a misdemeanour, such as one of those listed below:

  • Failure to abide with any of the Holsboer Vacations Fund / Resort house rules
  • Failure to comply with Nedbank Group Values (http://ebusiness.it.nednet.co.za/SVB/strategydiag/)
  • Failure to wash the dishes before vacating the premises.
  • Scratching or otherwise damaging the furniture.
  • Causing any item to require additional cleaning or replacement (e.g. items of bedding, utensils, etc.)
  • Cut off time for same day bookings is strictly 10:00 a.m.
  • It is the staff member / guests responsibility to ensure that they agree to the inventory list of the unit, should anything be missing or broken, they are to immediately advise the Resort Manager. On departure the unit will be inspected for any loss / damages / breakages.
  • Nedbank account holders, at the resort manager's discretion, will be charged for any breakages or losses at the resort. The Resort Manager will advise the booking office who will then debit the account
  • Each client agrees to and understands all terms, rules and conditions.


Any person that has booked and who then sub-lets the holiday accommodation will be blacklisted.
